- Once you have set up an organization, you can invite your employees (members) to your Docubee organization and give them the proper permissions.
- If an employee within your organization changes positions, you may want to update their role in Docubee to adjust their permissions.
- Did one of your employees move departments? Or, maybe leave their position? You’ll want to remove their access from your organization.
Before You Begin
- You will need to be an organization owner or organization admin to view/add/remove organization members. This ensures better security and privacy.
- If you are a member of multiple organizations, select the organization you are acting upon.
Select Organization
Before you add, update, or remove a member from an organization, you have to select the organization.- Log in to Docubee.
- Select the organization to which you are adding/updating/removing a member(s). There are two ways to initiate it:
- Click your account icon at the upper-right and select Switch Organization.
- Click the triple bar icon / hamburger icon at the upper-left to display the active organization name and click the dropdown button next to it.
- In the Change your Organization modal click the organization name to make it the active organization.
Add/Invite Member to Organization
- Select the organization to add a member(s). See Select Organization above.
- Click the gear icon to open Settings.
- In the left sidebar, click Members for the organization’s members section.
- In the Invite Member(s) section’s Email(s) to Invite field enter the email address(es) of the person(s) to invite to your organization. Note: You can invite up to 30 members at a time. Note: See Resend Organization Invites for information on resending invitations to members who did not previously accept it.
- You may invite multiple people at the same time.
- Click the Select a Role field and select a role from the dropdown. Note: All invited members will be assigned the currently selected role. This can be updated later.
- Click Send Invitation. Note: The Members list will show the date and time of the last organization invitation.
- in your organization’s members section with the status of Invited
- on the dashboard’s Members card as Invitation Pending.
Resend Organization Invites
You can resend organization invitations to members who have been invited but not yet accepted.- Select the organization in which to resend an invitation to a member(s). See Select Organization above.
- In the left sidebar, click Members for the organization’s members section.
- Find the member to whom you’d like to resend an invite by entering their name in the Find member field.
- Click Resend the email invite on the member.
Note: There is a mandatory 30-second delay in resending an invitation to a member to prevent spamming.
Update Organization Members
You can update their role:- Select the organization in which to update a member(s). See Select Organization above.
- In the left sidebar, click Members for the organization’s members section.
- Find the member you’d like to update by entering their name in the Find member field.
- Click into the Role field on the member to update.
- Select the role from the dropdown, either ‘Member’ or ‘Admin’.
Remove Member from Organization
- Select the organization to remove a member(s). See Select Organization above.
- In the left sidebar, click Members for the organization’s members section.
- Find the member you’d like to remove by entering their name in the Find member field.
- For the member to remove, click the trash can icon found next to their role, at the end of the member information row.
- You are prompted to confirm removal of the organization member. Click the Remove button on the confirmation message.
Known Limitations
- The maximum number of users in an organization varies based on your Docubee plan. You can select a plan with a higher limit or contact sales to increase your maximum limit for users.
- We currently have two roles: admin and member.
